This policy explains what personal information we collect, how we use it, who we share it with, how long we keep it, and what rights you have.

RallyCall is for users aged 18 and over.

1. Who controls your data

2. What information we collect

We collect information needed to operate RallyCall safely and effectively.

3. Account information

  • name;
  • email address;
  • password or login method;
  • profile photo;
  • age confirmation;
  • account settings;
  • notification preferences;
  • account status;
  • verification status.

4. Tennis activity information

  • local groups you join;
  • games you post;
  • games you request to join;
  • games you attend;
  • cancellations;
  • flexibility requests;
  • court preferences;
  • availability information;
  • ratings you give;
  • ratings you receive;
  • reports you submit;
  • reports involving your account.

5. Identity verification information

RallyCall requires identity verification to help keep the platform safer. Verification may involve passport checks, driving licence checks, selfie or liveness checks, face-match checks, verification status checks, and fraud and duplicate-account checks.

We use a third-party identity verification provider, currently Didit, to process identity checks.

RallyCall stores the information needed to record and manage verification, including verification provider, verification session reference, verification status, verification result date, Verified ID badge status, and internal safety and audit records.

RallyCall does not display your identity document, document number, selfie, biometric data, or raw verification result to other users.

RallyCall does not store passport images, driving licence images, selfie images, raw biometric files, or document numbers, unless strictly required for legal, safety, fraud-prevention or technical reasons. These are handled by the verification provider where required for the verification process.

Authorised representatives of CLYQAN LTD (including RallyCall staff, contractors, moderators, safety reviewers and trusted advisers acting under confidentiality obligations) may access, analyse and review identity verification information where needed for safety, fraud prevention, compliance, dispute resolution or service operation. This may include reviewing data points held by RallyCall and, where necessary, information held by our verification provider — which can include live or real-time images of you captured during liveness checks, photographs taken as part of the verification process (such as selfie captures and document photos), face-match comparisons, and related biometric or verification results. Access is restricted to the people who need it, logged, and used only for the purposes set out in this policy.

6. Messages, reports and support information

If you use messaging, reporting or support tools, we collect the information needed to provide and monitor those tools, including messages sent through RallyCall, reports submitted by users, support messages, investigation notes, moderation decisions and safety actions taken.

We may review this information where needed for safety, support, misuse prevention, legal compliance or service operation.

7. Device, log and security information

  • operating system;
  • pages viewed;
  • clicks and usage events;
  • error logs;
  • security logs;
  • cookie identifiers;
  • approximate location derived from technical data.

We use this information to keep RallyCall working, improve the service, detect misuse, investigate security issues and prevent fraud.

8. Location and court information

We use location-related information to show relevant groups, courts, games and weather information. This may include selected local group, selected court, approximate location, postcode or area where provided, and court location connected to a game.

RallyCall does not use constant background location tracking unless a future feature clearly asks for it and you allow it.

10. Our legal reasons for using your information

  • contract, where we need the information to provide RallyCall;
  • legitimate interests, where we need the information to operate, improve and protect RallyCall;
  • consent, where we ask for optional permission;
  • explicit consent, where required for biometric verification;
  • legal obligation, where the law requires us to use or keep information.

Where identity verification involves biometric data used to uniquely identify a person, we treat that data as sensitive and apply extra safeguards.

11. Identity verification and Didit

When you complete identity verification, you may be redirected to Didit. Didit processes the information needed to complete the verification check, including identity document information, selfie or liveness information, face-match information, and technical information needed to detect fraud or misuse.

RallyCall receives and stores the verification result needed to manage your account and badge status. Other users only see whether your account has a Verified ID badge.

12. What other users can see

Other users may see information needed to use RallyCall, such as profile name, profile photo, local group, games you post, games you join, ratings summary, Verified ID badge, and messages or replies you send.

Other users cannot see your passport, driving licence, document numbers, selfie verification, biometric files, raw verification result, private reports, internal moderation notes, or your email address unless you choose to share it.

13. Who we share information with

We share information only where needed, with identity verification providers, hosting providers, email providers, analytics providers, security providers, fraud prevention providers, professional advisers, courts, venues or authorities where needed for safety or legal reasons, and law enforcement, regulators or courts where required or permitted by law.

We do not sell your personal information.

14. International transfers

Some providers may process information outside the UK. Where this happens, we use safeguards required by UK data protection law.

15. How long we keep information

  • account information is kept while your account is open;
  • game activity is kept while needed for service, safety and record purposes;
  • reports and moderation records are kept while needed to protect users and RallyCall;
  • verification status is kept while your account is active and for a reasonable period afterwards;
  • support messages are kept while needed to handle the issue;
  • technical logs are kept for a limited period unless needed for security, fraud prevention or legal reasons.

We may keep limited information after account closure where needed for safety, fraud prevention, legal, accounting, dispute or enforcement reasons.

16. Cookies

RallyCall uses cookies and similar technologies to keep you logged in, remember settings, understand how RallyCall is used, improve the service and protect the platform from misuse. You can control cookies through your browser settings. Some features may not work properly if cookies are disabled.

17. Your rights

You may have the right to request a copy of your information, correct inaccurate information, delete your information, restrict how we use your information, object to certain uses, move your information to another provider, and withdraw consent where we rely on consent.

18. Complaints

If you are unhappy with how we handle your information, contact us first at contact@rallycall.co.uk so we can try to fix the issue. You also have the right to complain to the UK Information Commissioner's Office.

19. Security

We use reasonable security measures to protect personal information, including secure hosting, access controls, encryption where appropriate, audit logs, limited internal access, security monitoring and supplier checks.

No online service is completely risk-free. You are responsible for keeping your login details secure.

20. Changes to this policy

We may update this policy as RallyCall changes. If we make important changes, we will take reasonable steps to tell you by email, in-app message, website notice, or another suitable method.
